Xtreme Colour Run – Terms and Conditions 

1. General Information 

1.1. The Xtreme Colour Run (the “Event”) is organised by Cobalt Health Medical Charity (“Cobalt”, “we”, “us” or the “Organiser”) and takes place at Dunkertons Park, London Road, Charlton Kings, Cheltenham, GL52 6UT. The Event is delivered in partnership with Dunkertons (“Venue Partner”). 
1.2. The Event date is Sunday 17 May 2026. If postponed, the postponement date is Sunday 7 June 2026 (unless changed in line with section 8). 
1.3. By purchasing a ticket/entering/registering for the Event (including via Eventbrite) and/or attending, you confirm that you have read, understood and agree to be bound by these Terms and Conditions. 
1.4. These Terms and Conditions apply in addition to any applicable terms shown on the Eventbrite checkout and any venue rules notified to you on the day. 
1.5. The Event is a charity fundraiser. Funds raised support Cobalt’s charitable work. 

2. Registration and Tickets 

2.1. All participants must be registered (hold a valid ticket/entry) before taking part. You may be asked to show your order confirmation/QR code at registration. 
2.2. Ticket inclusions (where advertised) may include an event T-shirt, sunglasses, finisher’s medal and a drink token (redeemable for half a soft drink or half a cider for over-18s only). Specific inclusions may vary and are as described on the Event listing at the time you purchase your ticket. 
2.3. Tickets are non-transferable unless the Organiser agrees otherwise in writing. Resale of tickets is prohibited. 
2.4. Refunds: no refunds will be issued within 7 days of the Event date. Any refunds (where applicable) will be handled in line with the refund policy shown on the Event listing/checkout and any platform requirements (e.g., Eventbrite). 
2.5. We reserve the right to refuse entry, or remove a participant from the Event, if they do not comply with these Terms and Conditions or instructions from event staff/volunteers. 

3. Health, Safety and Fitness to Participate 

3.1. The Event is an “extreme” outdoor colour run on uneven, sloped ground and may include steep/uphill sections. It is not a race and is not timed. You are responsible for choosing an appropriate pace and distance (e.g., 1, 2 or 3 laps). 
3.2. You confirm that you are physically and medically fit to take part. If you have any medical condition (including but not limited to asthma, allergies, respiratory conditions, heart conditions, epilepsy, pregnancy, or any injury), or if you feel unwell at any time, you should not take part or should stop immediately and seek assistance. 
3.3. If you have concerns about participating, you should seek medical advice from your GP in advance. 
3.4. Coloured powder will be used. While we aim to use products that are intended to be safe for use at events, coloured powders may cause irritation or trigger reactions for some people (including those with asthma, allergies, sensitive skin, contact lens wearers, or respiratory sensitivities). You participate with full awareness of these risks. 
3.5. You should take sensible precautions, including (as appropriate): wearing the provided sunglasses/eye protection, avoiding direct powder exposure to the face, covering your mouth/nose if you are sensitive, and washing hands before eating/drinking. Do not throw powder directly into anyone’s face. 
3.6. You must follow all safety instructions given by event staff/volunteers and marshals, including any instructions relating to route direction, staggered starts, stopping/withdrawing, and safe movement through colour stations. 
3.7. Medical support/first aid will be available on site. If you feel unwell, light-headed, or uncomfortable at any point, slow down/stop and inform a marshal as soon as possible. In an emergency, call 999. 

4. Event Conduct 

4.1. You must behave respectfully towards other participants, staff, volunteers, and members of the public. 
4.2. You must follow any reasonable instructions from event staff/volunteers, marshals, and the Venue Partner, including instructions given for safety reasons. 
4.3. Littering is prohibited. Please use the bins provided and help us keep the venue and route safe and tidy. 
4.4. Alcohol: participants must not take part while under the influence of alcohol or drugs. Any alcohol redeemed using a drink token is for over-18s only, and we may request proof of age. The Organiser reserves the right to refuse alcohol-related elements where required for safety/legal compliance. 
4.5. We operate a zero-tolerance approach to aggressive, unsafe, abusive, discriminatory or harassing behaviour. Anyone behaving in this way may be removed from the Event without refund. 

5. Fundraising (Optional) 

5.1. Participants may choose to fundraise in support of Cobalt in connection with the Event. 
5.2. If you fundraise, you must do so in a lawful and responsible manner and in a way that does not bring Cobalt into disrepute. 
5.3. Any money paid to Cobalt as a donation will be treated as a donation and is generally non-refundable, even if you later do not attend the Event, unless required by law. 
5.4. If you wish to use Cobalt’s name or logo for fundraising materials outside of standard platform tools (e.g., JustGiving), please contact us for approval. 

6. Children, Supervision and Accessibility 

6.1. Children/young people must be supervised by a responsible adult at all times. The supervising adult is responsible for the child/young person’s conduct and safety during the Event, including at registration, on the route, and around the venue. 
6.2. The route includes uneven and steep sections and may not be suitable for all abilities. If you require support to participate, please contact us in advance where possible so we can advise on the venue layout and reasonable options on the day. 
6.3. Any additional venue rules (including rules relating to buggies, pushchairs, dogs, or similar) will apply and must be followed where notified by the Venue Partner or event staff. 

7. Liability 

7.1. Participation is voluntary and you take part at your own risk. 
7.2. Nothing in these Terms and Conditions limits or excludes our liability for death or personal injury caused by our negligence, or for any other liability that cannot be limited or excluded by law. 
7.3. Subject to clause 7.2, to the fullest extent permitted by law, the Organiser is not responsible for any loss, damage, or injury arising from your participation in the Event (including travel to/from the Event), where this is not caused by our negligence or breach of duty. 
7.4. You are responsible for your personal property. Please do not bring valuables. The Organiser accepts no responsibility for loss, theft, or damage to personal items or motor vehicles. 

8. Event Changes, Postponement or Cancellation 

8.1. The Organiser reserves the right to make reasonable changes to the Event, including (without limitation) the route, start times, group starts, venue layout, facilities, or other operational details, where necessary for safety, operational, or logistical reasons. 
8.2. The Organiser may postpone or cancel the Event due to circumstances beyond our reasonable control or where we consider it unsafe or impractical to proceed (including severe weather, site conditions, safety concerns, or venue restrictions). Where the Event is postponed, the intended postponement date is Sunday 7 June 2026 (unless we notify ticket holders of a different date). 
8.3. If the Event is cancelled or postponed, we will contact ticket holders using the details provided at purchase/registration as soon as reasonably possible. 
8.4. Refunds (if applicable) will be managed in line with the refund policy shown at the time of purchase and any platform requirements (e.g., Eventbrite). No refunds will be issued within 7 days of the Event date. 

9. Data Protection and Photography/Filming 

9.1. We will use personal information provided during registration/ticket purchase to administer the Event, communicate essential Event information, and (where relevant) support fundraising activity in connection with the Event. 
9.2. The Event may be photographed or filmed. By attending, you acknowledge and agree that images/video may be used by the Organiser for promotional and fundraising purposes (including online), unless you notify us on the day and we can reasonably accommodate your request. 
9.3. If you are attending with a child/young person, you are responsible for ensuring you have the appropriate consent for their participation and for any photography/filming, where applicable. 

10. Governing Law 

10.1. These Terms and Conditions are governed by the laws of England and Wales. 
10.2. Any dispute arising in connection with the Event or these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
